Assign roll numbers to a whole batch

Roll numbers order a batch — on the roster, the attendance register, marks entry and printed lists. You can give every student in a batch a roll number at once from the batch roster, or set one student's number on their record.

Number a whole batch at once

  1. Open Classes & Batches and click the batch (for example "Class 6 — Batch A").
  2. In the Student roster card, click Roll numbers… on the right of the action bar. A panel opens listing every active student in the batch with a box for their roll number.
  3. Under Number them in order of, choose how the numbers should run:
    • Name (A–Z) — alphabetical, the usual choice for a new session.
    • Admission number — in the order students were admitted.
    • Current roll number, new students last — keeps the numbers students already have in their present order and gives the newly admitted students the next numbers. Use this when a few students joined mid-year.
  4. Set Start from (normally 1) and click Fill in order. Every box fills in sequence.
  5. Change any box by hand if you need to — for example to skip a number or swap two students. A box shown in red means two students have the same number; fix it before saving.
  6. Click Save roll numbers.

The roster now lists the batch in roll order, with the roll number in its own Roll column next to each name. Leaving a box blank removes that student's roll number; Clear all empties every box so you can start again.

Number one student

Open the student from Students, click Edit, and set Roll number on the form. The same field is on the admission form when a student is first admitted, and the student CSV import accepts a roll_number column for new students.

Good to know

  • Roll numbers must be unique within a batch. If a number is already held by another student in the same batch, the save is refused and the message names the student who has it.
  • Numbers are kept per student, so when a student is promoted or transferred, their old number moves with them. Number the new batch again after promotion — Roll numbers… with Name (A–Z) takes a few seconds per batch.
  • Only staff who can manage students (the same people who can transfer or graduate them) see the Roll numbers… button.
