Read an employee's profile: designation, service and access

Open HR & Staff → Employees and click a person to see their profile on the right. The green header card tells you who they are and where they stand; the Details card below holds the full record.
The header card
- The employee's name, with Active or their leaving status beside it.
- A Teaching staff badge appears only for staff who teach — anyone with a class or subject assignment. An Administrator badge marks staff whose login has administrator access. Staff who neither teach nor administer show no badge at all: a peon, gardener or accounts officer is described by their designation, not by a badge.
- Their designation — the position and department, for example "Gardener · Janitorial Staff" or "Coordinator · Academics". Positions are set up under HR & Staff → HR settings.
- Employee no., Joined (the joining date) and, under it, In service — the length of service with the school so far, for example "12 years 2 months". For staff who have left it reads Served with the length of service up to their last working day.
- Email and reporting Manager.
Access is not a designation
The Access select on the profile — Teacher or Administrator — controls what the person's login can open. Every staff login has one of these two access levels regardless of their job: an accounts manager or office assistant signs in with Teacher-level access unless made an Administrator. Change it here; it never changes the person's position or department.
Details card
- Service with the school — the same length of service as the header, with the joining date.
- Prior experience — experience the person brought before joining, in years, with a Prior experience — details note (previous schools, roles). Both are typed in on Edit; if they show "—", nothing has been recorded yet.
- Qualification, date of birth, bank details for salary, biometric ID and the rest of the record.
Fixing a wrong joining date
The service figure is calculated from the Joined date, so an employee who shows "Less than a month" after ten years simply has the wrong joining date on file. Click Edit, correct Joining date, and save — the service figure updates immediately.
